Millennial Records Preservation Project

for Utah Municipalities and Special Districts

21st Century Communities

The Millennial Records Preservation Project for Utah Municipalities, Counties, and Special Cemetery Districts provides local governments an opportunity to identify and schedule record series of value and to preserve them on microfilm. These records include minutes, resolutions, ordinances, annual reports, cemetery records, and other unique local historical records from the date of incorporation to the present.

Project Goals

 

  • Train staff of municipal governments and special districts in their offices so they can identify historical records, establish record series, understand basic requirements of the Government Records Access and Management Act, and evaluate series for microfilming.
  • Enable local governments to submit notification of designated record series information classification directly to the Archives via our website.
  • Preserve the most valuable historic records of each government entity on microfilm.
  • Make microfilm copies of the records available to researchers on a regional basis.
  • Encourage local governments to participate in the Utah State Historical Society's Cemetery Inventory and Burial Database Program.

Project Status: Region I

The Millennial Preservation Project began as a pilot project in 1999 with the Bear River Association of Governments, consisting of municipalities and special cemetery districts in Box Elder, Cache, and Rich counties. Personnel from the 40 participating government entities were trained and they have identified and scheduled numerous records series. Of these, 186 series were microfilmed. Microfilming was done in cooperation with Utah State University's Merrill Library, which donated the salaries, space, and administrative time needed. Access to microfilm copies of the records are available at the creating agency, the Merrill Library, and the Archives Research Center. Additional records will be filmed as remaining agencies participate in the project.

Region II

The second phase began in February 2001 and will assist government entities in the Five County Area in southwestern Utah (Beaver, Garfield, Iron, Kane, and Washington counties) plus Piute and Wayne counties. Microfilming of these records will be done at Southern Utah University's Gerald R. Sherratt Library. When this phase of the project is completed, microfilm copies of the records will be available at the creating agency, the Sherratt Library, and the Archives Research Center. Microfilm copies of records from agencies within Washington County will also be available at Dixie College Library.

Contribution to the 21st Century Communities Program

Participation in the Millennial Preservation Project helps a community meet some of the requirements to be a 21st Century Community:

  • Community Planning (Local Governance). A good records management program is essential to sound operating procedures.
  • Community Services (Culture and Heritage). The preservation and accessibility of vital historical records contributes to the sense of heritage for each community.
  • Community Infrastructure (Information Technology). It is essential for each municipality to have access to the Internet to transmit information to and from the Archives to expedite the management and preservation of their records.
